Define a field mapping contract and record identity checks before allowing generated post-contact content to update a CRM. Separate the text the assistant produces from the structured destination it must populate. A good summary does not automatically establish the correct case, customer, field value, or workflow state.

Level AI describes automated summaries. AWS documents source mapping and record association in Customer Profiles. The latter illustrates a platform-specific data-mapping distinction; it does not establish Level AI writeback behavior or a ready-made connector for your CRM.

What should the mapping contract specify?

Inventory the required destination fields with the CRM owner. For each field, state its meaning, accepted type and values, whether it is required, and which system owns updates. Distinguish a narrative note from a controlled disposition, a task, or a change to case status.

Contract fieldDecision to make
Source evidenceWhich conversation detail supports the value?
DestinationWhich object and field receive it?
IdentityHow is the correct customer or case selected?
ApprovalMust an agent review before saving?
ConflictWhat happens when an existing value differs?
FailureWho resolves a rejected or repeated update?

Use the contract as an evaluation requirement. Ask the supplier to identify unsupported destinations and manual steps before estimating after-call work savings. A generic integration listing does not answer these field-level questions.

How should you test record identity?

Use safe test records containing multiple open cases, a transferred contact, and a customer discussing more than one issue. Ask the agent to verify the intended destination before saving. Confirm what occurs when no matching record exists or two plausible records are available.

Include a case reassignment during the interaction. Review whether the final note follows the agreed destination rule rather than a record selected earlier. Record identity failures separately from content errors; repairing a sentence does not repair a note attached to the wrong case.

What should happen when updates conflict or fail?

Demonstrate an agent edit, a supervisor edit, a missing required value, and an interrupted connection. Require an observable result for each: saved, rejected, pending, or needing human resolution. Ask how retries avoid duplicate notes or tasks and how a later correction is traced to the original content.

Keep human approval for consequential fields until the scoped workflow is validated. Verify what the implementation actually supports rather than describing desired retries or approval steps as native functionality.

How should the team decide whether to expand?

Review correct destination rate, accepted field values, unresolved failures, duplicate work, and agent correction effort. Inspect a sample of saved records in the destination system, not only the assistant interface. Use summary error labels for content problems and the broader after-call evaluation for time and quality outcomes.

What does a safe mapping example look like?

Use this illustrative contract before implementing automatic writeback. The values are constructed examples, not a connector specification.

Source valueDestination ruleFailure behavior
Contact ID C-104; case ID K-208Resolve the explicit contact-to-case association before a write.Queue for review if the association is absent or ambiguous.
“Supervisor will check eligibility”Save as a draft next step; do not set refund-approved.Leave authorization fields unchanged.
No agreed callback timeKeep due time unknown rather than generating a date.Ask the responsible owner to complete the task.
A retried request for C-104Recognize the same operation and inspect the prior outcome.Avoid duplicate notes or repeated customer actions.

Test two contacts for the same customer and a transfer that produces a second interaction identifier. Confirm whether the intended record is a contact, case or customer profile; those identifiers serve different purposes. Require a read-after-write check against the chosen destination and keep an exception queue with the proposed value, rejected reason and named owner. Authorize automatic updates field by field after reviewing these tests.

What are the limits of this guide?

Sources were checked October 20, 2026. No CRM connector, writeback path, conflict policy, or retry mechanism was tested. The proposed contract is not a product capability claim. Data ownership, destination permissions, and workflow approval must be agreed by the responsible teams.
