Handle an agent score appeal as a reviewable case file: preserve the original evaluation, record the challenged criterion, inspect the evidence and publish a reasoned decision. Keep the appeal outcome separate from any later rubric improvement so the individual case is resolved even when a broader fix takes time.

Level AI describes evaluation, calibration and dispute handling in its QA product. AWS documents evaluation review requests and manager resolution. These are product-specific public descriptions, not results of our own product testing. Confirm your required configuration, evidence access and operating responsibilities in a scoped demonstration.

What would a complete appeal disposition show?

Use an individual case record that a later reviewer can understand without reconstructing the meeting. The following case is illustrative and is not an account of a real employee.

Case fieldIllustrative entry
Original findingCriterion C4 failed under rubric R2; original output retained
ChallengeThe agent says the cited promise was spoken by the customer
EvidenceSpeaker-labeled segment plus surrounding turns; original recording reviewed by an authorized person
DispositionCorrect the criterion if the original attribution was wrong; otherwise retain it with a reason
Follow-throughPublish the corrected evaluation, link the version and route repeated attribution errors to the system owner

Our recommended case closure requires an outcome, a reason, a responsible reviewer and notice to the affected person through the established process. Keep the resolution of this appeal separate from any later rubric change, retraining request or retrospective recalculation. Track unresolved evidence and overdue reviews without treating a large number of appeals as proof that an agent or a system is inaccurate. This operational file does not replace organization-specific employment or privacy review.

What evidence should an appeal include?

RecordWhat it preserves
Original evaluation and versionThe decision the agent actually received
Challenged criterionThe precise point of disagreement
Agent explanation and excerptThe reason the decision is questioned
Reviewer evidence and conclusionA checkable basis for the outcome
Communication and report effectWhat changed and who was informed

Allow an agent to identify missing context without requiring them to write a technical diagnosis of the scoring model. A recording segment, prior message or documented workflow constraint can be more useful than a general statement that the score felt unfair. Record whether the reviewer could access the relevant evidence.

How should the review be assigned?

Name an owner, an expected response window and a backup. Avoid routing every appeal indefinitely to the same unavailable manager. Where practical, use a reviewer who can assess the criterion without being asked to defend their own initial judgment. Establish a clear path for unresolved interpretation questions.

Review the original interaction against the rubric version that applied at the time. If the policy later changed, state whether the case is being assessed under the original policy or being deliberately reconsidered. Do not rewrite historical context silently to make the decision easier to explain.

Which outcomes should be available?

  • Upheld: the evidence supports the original decision and the reason is explained.
  • Changed: the reviewer specifies the corrected label and score effect.
  • Insufficient evidence: the available record cannot support a definite finding.
  • Needs specialist decision: a named owner must resolve an interpretation beyond the reviewer’s remit.

Communicate the outcome in language tied to the criterion and evidence. Preserve the earlier value, reviewed value and reason for any reporting correction. A closed task without an understandable decision is not a useful completed appeal.

How should recurring problems feed improvement?

Review appeal causes across cases: missing context, unclear instructions, transcription problems or unsupported automated judgments. Send system-level patterns to the QA error queue, while preserving the agent’s case outcome. Track unresolved age and repeated causes; appeal volume alone does not establish either model quality or employee performance.
